Inviting collaborators

There are five different roles that you can assign a new team member as:

  • Compliance Admin: Compliance Admins are in full control of your team and program. This role enjoys unrestricted access to everything TrustOps has to offer, and as such should be reserved for the one or two people in charge of your compliance program.
  • Compliance Team Member: Compliance Team Members are colleagues who can view and contribute to your TrustOps. Their responsibilities may include owning a particular set of compliance artifacts such as systems, controls, and policies, and their access is limited to the artifacts they own.
  • Auditor: This role can’t manage or change things, but can view several parts of your TrustCloud.
  • TrustShare Admin: This role has access to manage and view content in TrustShare.

Step by step guide on how to invite collaborators:

  1. At the top-right of your screen locate the user icon in the corner. This will either be your initials, or the photo you uploaded.
  2. Select that icon to view the drop down menu, and select Account Summary.
  3. Below your profile summary, there will be an Invite Collaborator button. Select this, and fill out the new collaborators name, email and assigned role.
  4. Select Send Invite.

Branding

It’s important to brand your TrustCloud so that all your policies have your company’s logo, and other company-related information.

Step by step guide on how to set up Branding:

  1. In TrustOps, locate the user icon in the corner. This will either be your initials, or the photo you uploaded.
  2. Select that icon to view the drop-down menu, and select Account Summary.
  3. Locate the Branding page on the panel on the left side of the screen and select it.
  4. From this page, you can add your company logo by Drag and Drop or Browsing to Upload. You can also add your company icon in the same way.
  5. Scroll down to the Policy Documents section and you have the option to add your logo into your policies as well. Additionally, you can enable the add a watermark function to your documents.

Notifications

Don’t forget to set up notifications to keep up to date with any tasks. TrustCloud has two types of notifications:

  • In-app Notifications: Which you can view by clicking the notification icon (resembles a bell) in the top corner of the page.
  • Email Notifications: You can choose between receiving all email notifications, weekly digests (Sent every Monday), or no email notifications.

Step by step guide on how to set up Notifications:

  1. In TrustOps, locate the user icon in the corner. This will either be your initials, or the photo you uploaded.
  2. Select that icon to view the drop down menu, and select Account Summary.
  3. Locate the Notifications page on the panel on the left side of the screen and select it.
  4. You’ll see two different options for notifications.
    • In-app Notifications you can view by clicking the notification icon (resembles a bell) in the top corner of the page.
    • For Email Notifications, you can choose between receiving all email notifications, weekly digests, or no email notifications.

Connected Apps

Users can also connect to various different CRM’s and communication systems:

  • Slack: TrustCloud will post important updates to a selected channel in your Slack Workplace, such as questionnaire progress or task completion in TrustOps.
  • TrustShare Questionnaires: If you are using TrustShare Questionnaires you can connect into Salesforce or HubSpot to track the value of questionnaires and assign them to certain customers.
